Project Management (with Records Management experience)

Project Manager

Records and Information Management

As a Project Manager within Records Management, you will develop, implement and monitor a strategic ECM model, based on specific requirements from clients.  The Project Manager will oversee and monitor projects with a heavy involvement in records management, ensure GoA compliance, risk assurance, integrity, and confidentiality are met.  You will be responsible for communicating, and ensure client and Stakeholder’s directives are met.  Your recommendations will include best practice standards, client policies and procedures and workflow and requirements are all met.  You will ensure that budgets and timelines are executed to the contract specifications. This position will also have the role of ensuring that all staff, vendors, and/or Stakeholders are informed and understand each step of the implementation process.

This is a contract/temporary position.  The length of the contract will depend on the additional need.  Contracts always have the possibility of extension.

Responsibilities

  • Gather and define comprehensive project requirements and recommend technical solutions which affect multiple business units, client service teams and/or external clients
  • Plan, execute and evaluate projects according to Project Management Methodology
  • Oversee the coordination and development of strategies, plans, and the execution of tasks that define the scope, objectives, success factors, deliverables, and quality measurements to meet the business needs of the client
  • Develop records management processes to enhance organizational effectiveness and compliance
  • Set communication and continuously manage expectations with team members and other stakeholders
  • Able to lead multiple projects at once
  • Provide recommendations to clients based on Best Business Practices
  • Ensure that the technology strategy, roadmaps and solutions are aligned with the overall business strategy
  • Influencing others by facilitating dialog, providing suggestions/solutions and ensuring client and client service needs are achieved
  • Manage resources as efficiently as possible within the scope of the project
  • Provide change management support and ensure training is presented where needed
  • Conduct progress meetings using metric to assessing progress
  • Provide technical and analytical guidance to direct the work of the project team
  • Ensure members are aware of the technical component of the project and how the functionality works (ei. The ins and outs of SharePoint or OpenText)
  • Present and demonstrate information management principles to stakeholders
  • Prepare and maintain risk assessments, dependency tracking, critical path, and status reporting to Senior Managers
  • Proactively identify and mitigate risk while ensuring integrity processes to enhance organizational effectiveness of all records
  • Provide recommendations including risk/reward trade off and mitigation as required
  • Identify potential areas for improvement in current methodologies
  • Provide coaching to others leading aspects of the project
  • Manage scope/requirement changes, multiple and competing demands and priorities determining the impact on budget, time and risk using appropriate fact-based metrics/assumptions
  • Maintain a productive working relationship with project sponsors, vendors and key clients
  • As last steps, evaluate the projects and provide “ lessons learned”
  • Approve policies, standards and procedures, and rewrite documentation of established standards/process improvements, where applicable
  • Analyse and evaluate all current scanning and EIM based technical solutions to establish a framework for base lining, prioritizing, and evaluating compliance of all capture solutioning to ensure all electronic records are a legally admissible source record to support evidentiary requirements

 Qualifications

Education Requirements

  • Graduate with a degree in Computer Science, Business Management, or equivalent
  • Certificate in Project Management, with 5+ years’ experience as a Project Manager
  • Professional Certification, such as PMP, CAPM a must
  • Customer Service and Leadership Training
  • Good knowledge of PMI best practices and methodologies

Would be Assets

  • Ability to travel within Alberta
  • A good understanding knowledge of SharePoint and OpenText
  • Records Management Certification with experience in the Information Management industry
  • Open Text Livelink Business Consultant Certification
  • E-Records and Information Management Certificate
  • Good working knowledge of SDLC methodologies, the ISO 15489 Records Management standard and the MoReq2 specification
  • Full working knowledge of imaging, capture, management, storage, retention, archiving and disposition of electronic records
  • Familiarity of CAN-CGSB standards, ISO standards related to imaging and electronic documents, and ANSI-AIIM/ANSI-ARMA standards
  • Awareness of Operational and EIM based Governance, Functional Classification, Security, applicable Legislation and Regulations, CGSB, PMI, ITIL, COBIT, ISO, IIBA, and other industry relevant best practices
  • Functional Classification Development and Retention Schedule alignment within taxonomy

Soft Skills

  • Excellent project management skills, including the ability to budget, schedule, and manage resources within set parameters
  • Strong communicator capable of interacting with all levels of management and staff
  • Excellent discipline and time management skills to plan, manage, and deliver results as a team and independently
  • Excellent written/verbal communication and collaboration skills
  • Technical experience in the areas of PCI Compliance, Privacy and Data Protection

Experience

  • Extensive experience in managing government projects ranging up to $2M, total project value
  • Managing multi-disciplinary project teams
  • Minimum of five years of project delivery
  • Records Management knowledge
  • Information security and risk management within the government sector
  • Experience in Enterprise Content Management (ECM) projects
  • Proficient in building detailed project schedules using Microsoft Project 2010
  • Risk Management and Change Management skills
  • Proven leadership, time management, negotiation, facilitation, and problem solving skills
  • Involvement in technology planning and deployment, including expert knowledge of industry best practice and governance models

Business Analyst

Senior Business Analyst

This is a contract position and can range from six months to several years, depending on the project.

Responsibilities

  • Identify the business needs of both clients and stakeholders to help determine solutions to business problems and clarify ad hoc information
  • Facilitate workshops and focus groups to determine requirements and set priorities
  • Prepare, document and carry out process mapping, testing and approval
  • Develop technical requirements; create mock-ups and prototypes
  • Establish good working relationships with various business units
  • Conduct fit-gap analysis. Summarize findings and document business process inefficiencies and areas of opportunity. Work with team members to address and identified gaps.
  • Responsible for developing and enforcing the detailed project plan, based on agreed-upon scope
  • Assist in developing Business Systems initiatives, goal planning, and roadmaps
  • Research the latest technology, methodology, and best practices available
  • Maintain system protocols by writing and updating procedures
  • Ensure that project schedules and performance requirements are met, that tasks are completed according to quality, budget, and schedule needs, and that goals are in alignment with team and company objectives
  • Participate in the development and review of test cases, ensuring completeness and accuracy
  • Identify common data and business components that could be shared between departments and programs
  • Work closely with developers and a variety of end users to ensure technical compatibility and user satisfaction
  • Liaise with the development team to ensure the technical architecture and designs are implemented and are functional
  • Track project progress by completing weekly status reports
  • Analyze and document problems during system testing and propose solutions
  • Assist in implementing or modifying operational procedures for the team.
  • Foster an open and positive working environment through regular communication with team members and sharing knowledge and feedback
  • Provide Quality Assurance and Validation of all design and development and ensure that all business requirements are supported in the application design
  • Identify and propose systems solutions to process automation and be able to communicate how they can be used to improve operations and operational performance
  • Determine operational objectives by studying business functions, gathering information, evaluating output requirements and formats
  • Manage project implementation according to established standards
  • Support the release and project management activities by participating in planning, execution, monitoring, and closure

Education

  • Bachelor of Science Degree, specializing in Computing Science, Degree/Diploma in Computer Science, Computer Systems Technology, Information Systems, or a Business Management Degree
  • Must have completed a post-secondary program that included Human Resources and/or Information Management Systems

Experience/Skills

  • 8+ years in Business Systems Analysis
  • A solid understanding of Business concepts and requirements
  • Must have a strong understanding of analysis and design methodologies for full system development lifecycles
  • Work effectively in a goal-oriented team environment with excellent interpersonal and facilitation skills
  • Excellent documentation, planning, organization, communication, interpersonal, and presentation skills
  • Strong understanding of business modeling techniques and tools
  • Strong Project Management skills in regards to eliciting and documenting high-level and detailed requirements
  • Success in building strong working relationships with variety of stakeholders

Programmer/Developer

Programmer/Developer

ERIS Solutions Inc. is an innovative enterprise content management and information management provider delivering systems and industry expertise to a wide range of private sector and public sector clients. We are a rapidly growing company undergoing significant change, and are currently seeking an Intermediate/Senior Programmer/Developer to become a member of our delivery team.

Responsibilities will include but are not limited to:

  • Assist with requirements gathering and preparation of specification documentation
  • Perform application development within a broad range of ECM technologies including SharePoint, Open Text Content Server, or related foundations
  • Perform problem solving activities and propose solution options
  • Support day-to-day operations, both in-house and for external customers

Essential Skills and Qualifications:

  • Post secondary education
  • Minimum of 4 years of progressive application development experience
  • Minimum of 2 years .NET development experience (VB.NET, C#, etc.)
  • Effective communication skills
  • Strong problem solving skills
  • Proven ability to provide accurate effort estimates and meet timelines
  • Time management and organization skills
  • Demonstrated ability to work in a fast-paced, dynamic environment

Additional Preferred Skills:

  • Document workflow experience
  • MS SQL Server experience
  • ECM or IM fundamentals, including system functionality, metadata, etc.
  • Experience in troubleshooting software
